The setup
Guest list with dietary needs and travel details, vendor contracts and payment tracking, budget, seating chart, minute-by-minute day schedule — planned in the same tool you can sign up for today. Every RSVP and menu choice was tracked in the platform, so the caterer's headcount was never a guess.
The day itself
A screen showed the live photo gallery: guests scanned a QR code on their table, uploaded photos and videos straight from their phones, and watched the slideshow grow during the party — 89 uploads by the end of the night. By the first dance the gallery had more angles of the ceremony than the photographer.
What broke
Digital invitations weren't ready in time — the invites themselves went out the old-fashioned way, and only the RSVP tracking ran in the platform. That gap is closed: personalised digital invite pages with built-in RSVP shipped right after the wedding, and every event since gets them out of the box.
Why this matters if you're a planner
Everything above ran unattended while the founder was, understandably, busy getting married. That's the bar for the tool: it has to work when nobody is watching the admin panel. Professional planners run each client's event as a separate project with its own check-in, gallery and RSVP flow — under their own brand.
