Refund & Cancellation Policy

Clear rules for subscription cancellation and refunds.

1. Company details

This policy applies to services provided by Vcv Group (BV), enterprise number BE 0556.959.647, registered address Beuntstraat 25, 2570 Duffel, Belgium.

2. Subscription cancellation

  • You may cancel your subscription at any time from your account settings or by contacting support.
  • Cancellation stops automatic renewal for the next billing cycle.
  • Unless required by law, cancellation does not create a retroactive refund for the current active billing period.
  • You keep access to paid features until the end of the billing period already paid for.

3. Consumer withdrawal right (EU/EEA)

If you are an EU/EEA consumer purchasing online, you may have a statutory 14-day right of withdrawal. By purchasing immediate access to digital services, you expressly request immediate performance and acknowledge that your withdrawal right may be lost once the digital service is fully performed, as permitted by applicable law.

4. When refunds may be granted

We may issue full or partial refunds in the following cases:

  • Duplicate charges or clear billing errors.
  • Unauthorized transactions verified after investigation.
  • Prolonged service outage materially preventing use of paid features.
  • Any situation where a refund is required by applicable consumer law.

5. When refunds are generally not granted

  • Partial use of a billing period after cancellation.
  • Failure to cancel before renewal date.
  • Change of mind after substantial use of digital features, where not required by law.

6. Request procedure and timing

  • Send requests to eventplanning@vcvgroup.be with account email, invoice number, and reason.
  • We aim to review requests within 10 business days.
  • Approved refunds are returned through the original payment method, subject to payment provider timelines.

7. Chargebacks

If you believe a payment is unauthorized, please contact us first so we can investigate quickly. Filing an unjustified chargeback may lead to temporary account restrictions while the dispute is reviewed.

8. Policy updates

We may update this policy to reflect legal, billing, or service changes. The latest version is always posted on this page.
